Email Setup

We use two email systems. Find which one is yours, then follow the steps to add it to your phone or laptop.

Managers & office staff

Microsoft 365. Sign in at office.com or add the account in Outlook with your Microsoft 365 email & password — Outlook configures it automatically. No manual settings needed.

Field & sales reps

WebHostingPad email (your @rooftechnologies.com webmail). Use the settings and steps below to add it to any device. Read your mail anytime at rooftechnologies.com/webmail.

Two things trip people up: your username is the full email address (e.g. you@rooftechnologies.com, not just "you"), and SSL must be on for both. If sending won't work on port 465, try 587 (STARTTLS). Use IMAP (above), not POP — it keeps every device in sync. Not sure of the exact server? In webmail, open your account → Connect Devices for your server's precise name.

📱iPhone / iPad

  1. Open SettingsMailAccountsAdd Account. (Newer iOS: Settings → Apps → Mail → Mail Accounts → Add Account.)
  2. Tap OtherAdd Mail Account.
  3. Enter your name, full email address, password, and a description. Tap Next.
  4. Make sure IMAP is selected at the top.
  5. For both Incoming and Outgoing servers, set Host Name to mail.rooftechnologies.com, Username to your full email, and your password.
  6. Tap Next — it verifies (give it a minute) — then Save.

🤖Android (Gmail app)

  1. Open Gmail → tap your profile picture (top right) → Add another account.
  2. Choose Other.
  3. Enter your full email address → Next → choose Personal (IMAP).
  4. Enter your password → Next.
  5. Incoming server: Server mail.rooftechnologies.com, Security SSL/TLS, Port 993.
  6. Outgoing server: "Require sign-in" ON, Server mail.rooftechnologies.com, Security SSL/TLS, Port 465.
  7. Finish the sync options → Done.

💻Outlook (Windows)

  1. FileAdd Account (in new Outlook: Settings → Accounts → Add account).
  2. Type your email address, then click Advanced options → check Let me set up my account manuallyConnect.
  3. Choose IMAP.
  4. Incoming: mail.rooftechnologies.com, Port 993, Encryption SSL/TLS.
  5. Outgoing: mail.rooftechnologies.com, Port 465, Encryption SSL/TLS.
  6. Connect → enter your password → Connect.

🍎Mac Mail

  1. MailSettingsAccounts+.
  2. Choose Other Mail Account…Continue.
  3. Enter your name, full email, and password → Sign In.
  4. It will say it can't verify — that's normal. Fill in manually: Account Type IMAP, both servers mail.rooftechnologies.com, Username = full email.
  5. Sign In → make sure Mail is checked → Done.
  6. If sending fails later: Mail → Settings → Accounts → your account → Server Settings, uncheck "Automatically manage", set Outgoing port 465, TLS on.

If something won't connect

  • Username = full email address (the #1 cause of "password incorrect").
  • SSL/TLS must be on for incoming and outgoing.
  • Sending (SMTP) requires authentication — same email & password as incoming.
  • If outgoing fails on port 465, switch it to 587 with STARTTLS.
  • Forgot your password? Reset it in webmail / cPanel, or ask your admin.
  • Still stuck? In webmail, open the account → Connect Devices for the exact server name your account is on.
